3 Takeaways from Behind the Scenes II with Seneca College

Bespoke Audio Visual’s Director of Creative Services, Tristan Tidswell was recently asked to be a guest lecturer for Seneca College’s Event Management – Creative Design students. The program aims to develop the skills needed to translate design concepts into events that wow clients and guests. Tristan’s presentation focused on the creative use of technology to elevate the guest experience with emphasis on design thinking, planning for success and technical execution. Here are some highlights from his remarks:

1. Design Thinking

At Bespoke AV, we approach each project with an open mind and hunger to understand the desired guest experience. This approach gives us the freedom to design without constraints while ensuring the audience is always at the forefront. Integrating necessary audio-visual systems into the overall room design allows presenters to directly connect with attendees, turning large event spaces into intimate gatherings. There is no one size fits all solution, the needs of each program must be considered when developing design concepts. We thrive on turning creative ideas into innovative solutions that leave a lasting impression on the audience.

2. Planning for Success

Once the design concept has been developed, logistical planning begins in earnest. Workback and production schedules are created, build drawings and signal flows are drafted, staffing needs are refined and the design gets separated into all the individual components that will work in unison to create the vision. Building out the step-by-step plan for the install (and dismantle) of the event helps to ensure all the departments stay on track. Maximizing the use of available time in the venue requires meticulous planning in the weeks and months leading up to the event. Regular scheduled touchpoints between key stakeholders keep everyone updated on progress and evolutions.

3. Technical Execution

When event day arrives it’s time to put the plan into action. With the advance work complete, the entire team should know exactly what they need to do to succeed and how they are going to achieve success. It’s important to stick to the plan as much as possible while also being adaptable as required to keep moving forward. Doing the little things correctly will bring overall success. Take the time to ensure presenters are comfortable, a confident presenter can seamlessly connect with the audience. A well-crafted program keeps guests engaged and connected from the moment they arrive until well after they depart.
